The Sample Studio manages swatch selection, proto construction, fit revisions, SMS development and PP approval — always using the same yarn quality, gauge, tension and finishing as bulk production. Each step is documented and aligned with your Buyer Studio so development stays clear, predictable, and repeatable.

- Fit comments and revisions are tracked until PP is approved.
- Shipment samples mirror final bulk quality and finishing recipe.
- All proto and SMS are produced in-house in Kathmandu.
- Same machines, same teams, same wash recipe as bulk.

Sampling Timeline
- Proto sample: 7–10 working days

Timelines may be adjusted slightly depending on yarn readiness, season and complexity, but our goal is to keep development fast and predictable for your calendar.

Sampling Policies
Sample development
- The first proto (initial development sample) is FOC, provided yarn is available and the style is technically feasible.
- Additional protos, size sets, intarsia, hand-embroidery and complex stitches are chargeable at standard sampling rates.
- For new or unapproved buyers, all chargeable samples must be paid before development begins.
Color cards & swatches
- Color cards and basic swatches are FOC for serious, approved buyers with confirmed development intent.
- For new or unqualified inquiries, yarn cards and swatches are sent only after DHL freight is paid.
- DHL courier charges are always paid by the buyer.
Sample cost adjustment
- Chargeable samples beyond the first proto may be adjusted against bulk orders, depending on confirmed program size and continuity.
MOQ & quality standards
- Bulk MOQ: 30 pcs/style · 10 pcs/colour (may vary for special stitches and hand-worked pieces).
- All samples follow AQL 2.5 and the same production wash / finish recipe as bulk.
- PP samples, shade references and technical notes are archived for every PO and season.
Sampling timelines
- Standard stitches: approx. 7–12 working days.
- Intarsia, advanced structures and hand-embroidery: approx. 12–20 working days.
- Timings depend on yarn readiness, season and development workload.
DHL shipment
- All samples are shipped by DHL Express with full tracking.
- Typical transit time: 3–6 days to USA / EU.
- Courier charges must be settled by the buyer before dispatch.
Commercial terms
Detailed sampling and production terms are aligned with your Buyer Agreement and may be customised by season or program for recurring or large-volume partners.

For active buyers, we can share curated photo boards or short video updates that follow your styles from proto to PP sample and final bulk. As we progress with your program, your Buyer Studio dashboard can be paired with this visual archive to give you full visibility on both numbers and craft.
On request, we can also prepare a private visual folder per buyer, showing milestones for key styles — ideal for internal line reviews and remote team updates.

Every proto is checked for size accuracy, tension balance, and finishing consistency before dispatch.

Title of goods remains with Kanchan Cashmere until paid in full.
Delays beyond 10 days from shipment-ready may incur a 2% monthly holding charge.
Revisions & Cancellations
Sampling revisions are accepted prior to SMS approval only.
Once bulk production has started, changes to design, yarn or color are not possible.
Order cancellations are billed at actuals for yarn and labor consumed.
Orders cancelled after dyeing are charged for yarn, dyeing and processing costs.
Logistics & Packaging
Each piece is packed in eco-certified tissue or recycled polybag; bulk cartons are double-walled and moisture-protected.
Buyer-nominated DHL/FedEx accounts are welcome; insurance available on request.
Sea freight is available for 500+ pcs with longer lead time.
Special packaging, barcoding and private-label inserts can be arranged (surcharge may apply).

Aligned with OEKO-TEX®, GOTS, GRS, RCS and SFA standards across inputs and process.
Partner mills are independently audited for responsible practices.
Traceability data (mill, yarn origin, dye lot) can be shared per PO upon request.

Legal & Arbitration
All commercial dealings fall under the jurisdiction of Nepal.
Any dispute shall be resolved amicably or through arbitration as per Nepal law.
